Collecting and storing personal data on our customers, etc.
We collect and store personal data relating to our customers, suppliers and collaborative partners only in connection with one of the transactions set out below:

(i) On the sale of our products and services when the individual in question is a customer or our customer contact.
(ii) On the purchase of products or services when the individual in question is a supplier or our supplier contact.
(iii) On responding to an enquiry relating to our products or services when said enquiry is made by the individual or the company for which the individual is the contact person.
(iv) For the purposes of managing our relationship with the individual or the company for which the individual is the contact person.
(v) For the purposes of complying with any legal obligations.

The use of personal data on our customers, etc.
We use the collected personal data on our customers, suppliers and collaborative partners solely for the purposes of carrying on our business and for the purposes set out below.

(i) For the purposes of customer management, which includes the setting up and management of customer relationships when the individual is our customer or the contact person of a customer, to include maintaining our customer records, credit assessments, invoicing, debt collection, marketing, preparation of statistics, etc.

(ii) For the purposes of the management of relationships with suppliers and/or collaborative partners when the individual is our supplier or collaborative partner or the contact person of a supplier or collaborative partner, with whom we collaborate, to include maintaining our CRM register with information on the contact persons of our suppliers and collaborative partners.

(iii) For the purpose of complying with legislation and regulations to which we are subject in connection with the operation of our business.

We endeavour to ensure that all personal data processed by us is accurate and updated. For this reason, we ask you to always inform us of any changes to your personal data (e.g. change of address or payment information) thus enabling us to ensure that your personal data is up to date.

Legal authority for processing your personal data
Generally, we process personal data on our customers, suppliers and collaborative partners in accordance with Article 6(1), para b, c and f of the General Data Protection Regulation (GDPR), which confers the right onto us to process personal data when this is necessary for the formation or fulfilment of our contracts, for complying with our legal obligations or for the pursuit of our legitimate interests, i.e. the purposes set out above. Moreover, situations may arise when we process personal data for the pursuit of the interests of third parties, unless these interests are outweighed by the interests of the individual.

Sharing personal data
We may disclose and/or make personal data available to other suppliers and/or service providers in connection with the general operation of our business, e.g. for the management of our IT systems, analytical tasks, marketing assignment, debt collection, credit assessment, etc.

We do not disclose personal data unless this is necessary for the operation of our business or to fulfil the needs of the individual.

We do not transfer personal data to countries outside the EU/EEA.

Data integrity and security
Person data is stored for no longer than necessary to fulfil the purpose, for which it was collected, unless the storage is necessary to comply with national legal obligations. It is the policy of Sodemann Udstillingssystemer A/S to protect personal data by taking adequate technical and organisational security measures. When your personal data is no longer required, we will ensure that it is erased in a safe and secure manner.

Your rights
Pursuant to the GDPR, you have certain rights in relation to our processing of your personal data. These include, amongst others, the right to access to the that of your personal data, which is processed by us, etc., the right to have inaccurate personal data rectified and the right to have your personal data erased prior to our general deadline for erasing personal data.
